DM Flow ("we", "our", "us") is an AI-powered DM automation platform built exclusively for fitness coaches. We operate the website at dmflow.io and the DM Flow application.

2. WHAT WE COLLECT

We collect information you provide directly and data generated through your use of the platform:

• Account data: Name, email address, and password when you register.
• Connected platform data: When you connect Instagram, TikTok, WhatsApp, or X, we access and process messages in accordance with each platform's API terms.
• Conversation data: DM content processed by your AI agent for the purpose of qualifying leads and booking calls.
• Usage data: Pages visited, features used, timestamps, and device information.
• Payment data: Billing information is collected and processed by our payment provider (Stripe). We do not store card numbers.

3. HOW WE USE YOUR DATA

• To provide, operate and improve the DM Flow platform
• To process and qualify inbound DMs on your behalf
• To book calls via your connected scheduling tool (e.g. Calendly)
• To send you service-related communications and product updates
• To detect abuse and enforce our Terms of Service
• To comply with legal obligations

We do not sell your personal data or your leads' data to third parties.

4. DATA SHARING

We share data only with:

• Platform APIs: Instagram (Meta), TikTok, WhatsApp (Meta), X — to send and receive messages on your behalf.
• Scheduling tools: Calendly or similar, to create bookings.
• Infrastructure providers: Cloud hosting and database services necessary to run the platform.
• Payment processor: Stripe for subscription billing.
• Legal authorities: Where required by law.

5. AI AND MESSAGE PROCESSING

DM Flow uses artificial intelligence to read, classify, and respond to DMs on your connected social platforms. By connecting a platform, you authorise us to process messages on your behalf.

Your AI agent configuration (tone, scripts, qualification criteria) is stored securely and used solely to power your account. We do not use your conversation data to train shared AI models without your explicit consent.

6. DATA RETENTION

We retain your account data for as long as your account is active. Conversation data is retained for 90 days by default to power analytics. You can request deletion at any time by contacting us.

When you cancel your account, your data is deleted within 30 days, except where retention is required by law.

7. YOUR RIGHTS

Depending on your location, you may have the right to:

• Access the personal data we hold about you
• Request correction or deletion of your data
• Object to or restrict certain processing
• Receive a copy of your data in a portable format
• Withdraw consent at any time

8. COOKIES

We use essential cookies to keep you logged in and to operate the platform. We use analytics cookies to understand how the product is used and to improve it. You can disable analytics cookies in your browser settings without affecting core functionality.

We use industry-standard security measures including encryption in transit (TLS) and at rest, access controls, and regular security reviews. No system is 100% secure — please use a strong, unique password and enable two-factor authentication where available.

10. CHANGES TO THIS POLICY

We may update this Privacy Policy from time to time. When we make material changes, we will notify you via email or a prominent notice in the platform at least 7 days before the changes take effect.
